New Embedded Ticket Button Widget

You've always had a couple of options how to display widgets for more standalone items like passes, ticket packages, memberships, or extras - either as a quick add-one-to-cart button or a "list" widget, which embedded a small block of content right on your own webpage.

But individual tickets have always had only one option--an inline list widget, which would embed something like this into a webpage.

image.png

This is a great solution for many events, especially when there aren't many showtimes to choose from. But when you have an event with more than a few showtimes, that gets unwieldy--so we created ticket button widgets. Just like other button widgets, a ticket button widget wraps around a button or link on your own site, turning it into a ticket-purchasing call-to-action.

Ticket button widgets can be easily generated from the Embedded Widget Generator--just choose an Event widget and choose button.

Replace the <!--Custom HTML Code--> clause with the button on your website and you're all set.

New Feature

Access Codes to Reveal Private Tickets

Private allocations are powerful ways to hide and set aside private tickets to one or a million different showtimes if you have a list of current and future users who should see them.

Discounts also work well if you want to make special pricing available only to customers who know a promo code.

This new feature takes the best of both worlds--introducing a way to apply an access code to a private allocation--from here, any users who enter the correct code will reveal private tickets during that transaction.

You set up an access code in any private allocation.

Find the Access Code field and create a code.

alloc-access-code.png

Distribute this code to a select group of people.

When they go a-ticket shopping, whether it's on goelevent.com or embedded on your website, they'll have the option to enter the access code and reveal those private tickets.

Event Reporting Date (Distributor/Artist) Reports Can Now Be Scheduled

The Event Reporting Date Reports, used often for reporting out event-specific sales data, can now be scheduled to be emailed to you every hour, day, week, or month.

Just visit the Event Reporting Date report in Reports.

Press this button.

image.png

Choose the frequency you want to receive the email (e.g., Daily).

This report has a ton of different calculations to offer--more than any one user probably wants to (or should) see. That's by design--when reporting out to distributors, artists, producers, promoters, or rightsholders, it's common to think creatively about how to factor in comps, member benefits, and how exactly ticket sales should be computed.

When scheduling this report for auto-delivery, you can now pick and choose which columns to exclude so the report contains only the information you wish to share.

New Report: Executive Summary

For the C-levels in your life and your venue operators, there is a new Executive Summary report that pulls together some key metrics, summarized sales data, and a breakdown of payments and cash deposits.

In the Accounting Reports section, locate Executive Summary.

This is a great report to schedule for daily/weekly delivery and/or save as a favorite report with a rolling date range.

Redeem Gifts for Recipients from Box Office

Since global gifting was introduced, one of the most oft-requested features was the ability to claim gifts on behalf of recipients. This is now possible in the new Box Office.

Advice from Elevent: Exercise caution when claiming gifts on recipients' behalf. If you don't think it through, you can get into some sticky situations.

In the Box Office, search for a customer by name or email--you are looking for the recipient of the gift, not the purchaser.

Press the Image button. If you don't find the recipient, you will register them with first name, last name, and an email address.

Now that you've successfully pulled up a customer, press the Redeem Gift button.

Enter the gift code in the field and press Claim Gift.

New Feature

Restrict Which Types of Products are Sold via Sales Channel

Whenever we get to talking about Sales Channels, it's advanced user stuff. This is fairly straightforward though--sometimes you just don't want to sell certain types of items from certain points of sale.

On any non-web sales channel, you can uncheck product types to make them invisible on that sales channel.

image.png

Uncheck what you want to suppress from that sales channel. For instance, above we disabled tickets, passes, ticket packages, and memberships from our concessions stations, but we left Extras to sell gift cards and Donations because, hey, donations are always welcome. And of course, concessions and merch.

When agents are selling through a specific sales channel, any types of products not sold via that sales channel will never appear as tabs in the product tabs.

In the customer overview, you'll see the expiration date of their current membership--press Add Payment.

New Feature

Check and ACH Payment Methods Added to Box Office

Beforehand, the "External" payment method was more of a catch-all payment method for anything sold where payment was processed outside of the system. Now, you can classify box office transactions as paid via ACH or Check explicitly.

In the Box Office app, agents add items to a cart as they normally would, and when they get to payment, choose the External tab. They'll see the ability to choose ACH or Check alongside External Device.

image.png

They can use all payment methods for known-customer sales or anonymous customer purchases.

Tip: use order notes after the fact to notate the check # of ACH reference #.

Reports have been updated to itemize and filter by these additional payment types.

This is only available in the Beta Box Office--the future of Box Officing.

Schedule an Email Subscription to Certain Reports

Introducing the ability to subscribe to and schedule periodic report delivery to your email address.

First, find and open a report you want to receive hourly, daily, weekly, or monthly.

Press the new purple Email button  image.

General Ledger Account Codes by Product + Reporting

For the inner bookkeeper that resides deep within all of us, it is now easier to categorize and reconcile according to your own internal chart of accounts and GL account codes.

On each individual product (e.g. ticket, pass, ticket package, membership, donation, concession), you can assign it a GL Code to match your chart of accounts.

It's okay if you have past sales history--your GL Account reporting will apply retroactively.

To view sales activity categorized by GL Code, run either the Stripe Payout Report or Transaction Reconciliation Report.
