New Feature

Pre-Show Email Notifications

We've added one of our most popular feature requests. Now Elevent can support and automate easy sending of mass, pre-show emails to ticketholders. It's a great and easily-accessible way to schedule pre-show reminders or blast out emergency updates like a cancelled or relocated event or weather-related updates.

You'll find Email Notifications in the submenu of any event or showtime.

Image

You will be able to send an immediate email blast out to all ticket holders for just one showtime or an entire event run. You can even create and reuse your own custom email templates that look just dandy using our rich content editor.

Image

Alternatively, you could also schedule a pre-show reminder to be sent to ticketholders of each show X hours or Y days before their appointment to attend.

Image

As ever, keep it light and simple with your emails to make sure they arrive un-thwarted. Just because you can include a lot of images and links doesn't mean you should.

Elevent for Salesforce v2.4

With this update from v2.3 to v2.4, we've introducing a set of improvements to improve the data sync, adding some small features, and bringing in ticket data as product types. Along with the usual set of bug fixes.

New option: Don't Import Entries

Entries, often called check-ins or scans, can be a ton of data. In an org like Salesforce, where data usage is very limited, it can mount up to a lot of data usage you don't value.

If you aren't planning to use the data about each person's actual attendance, you can check a box in the Elevent Custom Setting to "Skip Entries Import".

Ticket Products are Now Imported

In Salesforce, the app creates unique products for every other type of item but tickets--these are the 'SKUs' of your product mix.

Now, Tickets also get created. These are the types of tickets you sell (and used to sell or issue)--associated with the opportunities of their actual issuance to each attendee.

Imported Data Ignored Before Cutoff Date

In the Elevent Salesforce app, you can set a cutoff data where all sales before that cutoff date will be ignored.

Imported customers and auto-assigned items, however, have no purchase date--so they weren't being ignored if they were imported before the cutoff date. We're talking about data imported into Elevent.

Now, imported data before the cutoff date will also be ignored if it happens before the cutoff date you specify.

The default address from Elevent will now map to Other Address

While you could already change this using the Field Mapping tool in our Salesforce app, we changed the default mapping of addresses from Elevent into Other Address. The carefully collected addresses of contacts in Salesforce are often more valued than the billing address from purchases; by changing this default, we tread more carefully around addresses that might already exist.

Concessions & Merch Added to Order Rollup

The calculated values for tangible items wasn't being populated

Changed all API URLs to the new elevent.app

Has no noticeable effect other than future-proofing.

Bug Fixes:

  • On-demand processing will now also use the configured batch size.
  • Removed a bug stopping changes to field mapping in the field mapping tool
  • Partially saved Elevent Update ignored on retry.
  • Address line 2 was getting dropped during processing.
  • Fix field mapping concession references.
  • Fix person account User ID mapping causing query row limit.

New Report - Showtime Orders

We've added a new report to make it easier to preview everyone who should be attending all of your day's events, for a single day or a date range. The Showtime Orders report is a great way to prep your on the ground staff for the entirety of attendance expected.

Image

This is an immensely useful report - it'll show you in any order you imagine - everyone you expect to see today or over a range of dates. You'll see each purchase, ticket owner, and how many of each type of ticket they have.

Sort it by Showtime to get a chronological list of everyone in order you expect them to arrive. You can look at everyone you expect to arrive everywhere or filter it by venue or a single showtime.

Export and print it out for any on-the-ground staffers who don't have an Elevent login with reporting permission.

WordPress Plugin v1.3.0

With version 1.3.0 of the Elevent Event Ticketing WordPress plugin, we introduce a few significant new features to help more easily create and manage events not everyone should see. By tightening the integration between Elevent Sale Locations and your WordPress website, we've made it easier to control event visibility on any grids, lists, calendars, or sliders you have on your website.

Hidden Showtimes

Sometimes you need to create events on your website that just aren't ready to be seen by anyone but you. Sure, you could sync them and unpublish them on the website, but that's a bit tedious and you had to temporarily disable syncing or risk republishing those events to the public.

An event is visible when it has one or more showtimes in the future--and those showtimes should be visible. Now, if all of an event’s showtimes are set to Sale Location: Hidden, that tells the WordPress plugin to go ahead and create/update that event—but don’t let it be seen by anyone.

Image

In WordPress, you’ll see that ‘Hidden’ events are then:

  • Set to WordPress status: Draft
  • Set to Elevent Event Status: Pending
  • All hidden showtimes will not appear in the Elevent event calendar blocks/shortcodes

To take events live when you are ready, you need only update the Sale Location of Showtimes in Elevent. Most commonly, you’d update them to Private (your website only) or Web & Box Office (Everywhere); on next sync, events and showtimes will become visible.

If you have event listings, grids, layouts, or carousels on your website, you should review how you filter out events. WordPress Draft status should keep them displaying everywhere, but it’s recommended to also filter out Elevent Events in an Elevent Status of Pending or Past Event (unless it’s an archive page).

Unlisted Events

If you have a ticketable event that you want to exist on your WordPress site but not show up in the Event Grids / Lists / Calendars you have an easier way to make that happen within WordPress:

In an Elevent Event, in the 'Configured in WordPress' tab, there’s a new toggle: Unlisted event.

Image

Toggle on to hide the event from anyone who doesn’t know the link - any event grids / lists / and/or calendars. Showtimes to the event may still be on sale, if that’s how it’s set up.

Note: Since any event listings, grids, lists, or carousels can be custom-filtered by your website, it’s important to exclude these Unlisted events from those filters. The Elevent calendar blocks & shortcodes will do so automatically.

Responsive Time Slot Datepicker

If you have events that are of type time_slot (e.g., gallery/museum entry) the mobile view date picker now displays in a responsive manner:

  1. It defaults to show the first available entry date (instead of showing all dates)
  2. All other dates are in a scrollable date picker
  3. Clicking on a date takes you to that single date's time slots.

Watch this space for an even better version of time slot choosing UI--we have something in the works.

Improved Date Filtering in Event Lists

Before, when filtering an event list to a single date, it would display all events with a showtime on that date—but still show all showtime buttons for those events, even if they were on different dates.

To simplify the display, when the user filters to a single date, only buttons for showtimes on that filtered date will display.

Note: On-demand, streaming virtual events are awkward logic for date filtering to a single date. Virtual showtimes will not show when filtered to a date within their viewing period.

Sandbox Support

If you are in a higher pricing tier, you may have access to an Elevent sandbox. You can flip your website to connect to an Elevent sandbox by checking the box in Elevent plugin settings.

Image

Other minor fixes:

  • Converted all links to Elevent files to the new elevent.app extension and CDN provider
  • Fixed a bug where selecting to not show the labels (ie. Genres: or Countries:) was not working as expected in Elementor
  • A bug causing a critical error if you were trying to edit an event post using Elementor was resolved
  • Fixed a bug related to an ACF change causing the 'sponsor image' and 'sponsor link' fields to not render in the 'Configured by WordPress' section.
  • 3D svg path updated so this icon will pull through correctly in 'special attributes', also removed the helper text thanks to client feedback.
  • Earliest Event Time field now populates when events are imported from Elevent. This is the first stage of an upcoming new feature.
New Feature

New: Donation Round-Up Plus

Heretofore, you had two options for suggested/upsold donations:

  • The effective upsell: Where the buyer receives an explicit suggestion to also donate, and;
  • Round-up: Where the user has the option to round up their purchase to the nearest dollar during checkout.

Both have been tremendously successful. It's common to see thousands in additional donations simply by flipping these features on.

Then we got creative.

What if we addressed a common request--to offer the buyer the option to cover card processing costs and smashed it together with a suggested donation?

We ran some tests to see what buyers would respond to and we're so puffed up by the early results we've launched it as a feature.

Introducing Donation Round-up Plus.

If you revisit any donations you collect, you'll see some new options in the Round Up dropdown menu.

Donation

By choosing one of the two new options, you can give buyers the option to also cover the cost of credit card processing--either in place of the smaller round up or as an additional choice.

Donation

This small, extremely easy incremental change can result in hundreds or thousands of dollars in additional donations.

This option works with sales anywhere - embedded widgets and checkout, on goelevent.com, and through the Box Office / Retail point of sale. This feature is available to all clients at all pricing tiers.

New FeatureElevent for WordPress

Elevent WordPress Plugin v1.2.0

We're introducing 2 new features and some smaller improvements:

Special Attributes

You can now select special attributes on your showtimes to identify any specific shows that have aspects of interest to the buyer--these may be accessibility, like ASL interpretation, bonus content like a Q&A or talkback, or technical details like 3D or IMAX projection.

Configure Attributes

When populated, an (i) icon will show next to the ticket button, that, when clicked, will show a modal indicating what special attributes are on the event.

Time Slot Listing Option

For clients who have regularly occurring events occurring in time slots (eg. museum or gallery entry), you now have the option to change how the date-picker will appear on the event page. Instead of showing all dates and times as default (which is visually messy), it will default to the first available date, show a full week in the top bar, and the 'view more' option is now scrollable, so you won't get long dropdown making your UI difficult to use.

To use this option, you can:

  • Use the shortcode type attribute 'time-slot': [elevent_showtime_list type="time-slot"]
  • In the 'Configured by WordPress' section of your event, check the 'Time Slot Event' box.

Time Slot Config

  • You can comment out the default elevent_showtime_list and uncomment the time-slot version in the single-page.php template.

Other minor fixes:

  • On event pages, if there's only one venue or one date, the filter will not be rendered.
  • In the Calendar, if you have an event with a 0 mins runtime, the runtime will not be rendered.
  • In the Calendar, the display name will be the event name. Before, the showtime name was being truncated based on when the '-' character was appearing, but this was breaking the display for events with dashes in their name.
New Feature

Automated Reports for Producers and Other External Collaborators

They're not staff. They're not customers. But they may be:

  • Producers
  • Touring Companies
  • Booking Agents
  • Venue Renters
  • Promoters
  • Artists
  • Sales Outlets
  • Marketing Agencies

Or just about anyone else with a vested interest in specific events. You can't give them Elevent logins, but you don't want to burden your staff with daily or weekly reports to keep them abreast of sales.

The new Producers system in Elevent to the rescue. Next to where you manage your staff (In the Account menu), you'll see a whole new type of person--Producers.

Manage Producers

From here, you can add and manage a library of external users who request/require regular updates on sales of their events. Add them and then subscribe them to daily, weekly, or monthly updates to specific showtime sales.

Add Multiple Producers

Not only does this save you a boatload of manual effort, but it adds a layer of trust to the sales numbers you share--no manual intervention = no funny business.

Learn all about the Producer system here.

New Feature

See Who is Sitting Where: Showtime Seat Manifest

If you are larger shows using reserved seating, preparing and managing the day of the event can be a challenge--especially if you have VIPs and special needs to attend to as guests arrive.

The Showtime Seat Manifest is here to make this a more manageable process.

Image

To get there, go to the showtime details for any reserved seating showtime. Then press Seat Manifest in the submenu.

Image

From here you can click around, see exactly who is seated in each seat, what they bought, when, and in which order. You can press the bust icon by the customer or the order number to pop over to that customer or order.

Lower on the page, you'll see a Seat Manifest showing everyone who gets in and their seat assignment. You can press the Image button to export it and print it out.

New FeatureImprovement

General Ledger (GL) Expansions

Bean counters rejoice! Here's a package of new data and tools to help you categorize and track sales by each GL Code--as it corresponds to your own chart of accounts.

New Management Tool: the GL Code Manager

Check it out here, under the Tools menu.

While you can configure each item you sell or collect with a GL Code, as your inventory grows, managing it all to make sure the right GL codes are associated with each item can be complicated.

Image

This tool gives you better oversight and makes it easy to confirm you have your accounting codes set up correctly.

Image

Just filter down to items with GL Codes that aren't yet set, check off some to update, and bulk-apply the right GL Code.

Image

GL Export can now export all GL Code accounts at once

Gone are the days of exporting each GL Code on its own. When you go to the GL Code Export, you can filter to All GL Codes and export each in one spreadsheet.

Added a GL Code column to all Transaction Exports

For the most granular detail about each item sold, you may turn to the Transaction Exports. Should you find it useful, we've added the GL Code column to these exports as well.
